# HubSpot Conditional Record Layouts: Show the Right Properties to the Right Team (Without Breaking Your CRM)

**Audience:** HubSpot admins, RevOps, Sales Ops, and anyone tired of scrolling past 200 fields to find the 3 that matter.

## The problem (and why it gets messy fast)

Most HubSpot portals don’t have a “data problem.” They have a **layout problem**.

Here’s what I see constantly:

- Sales wants deal fields front-and-center.
- Customer Success wants onboarding and renewal fields.
- Marketing wants lifecycle + attribution context.
- Leadership wants clean reporting (which means consistent fields, not duplicates).

The usual “solution” is to create more properties (or worse: duplicate properties per team). That’s how you end up with *three* versions of “Contract Start Date,” broken reports, and a CRM nobody trusts.

The better approach: **keep one clean data model** and tailor the **record view** using HubSpot’s record customization + conditional logic.

## What you’ll build

You’ll create a record sidebar layout that:

- Shows different property sections based on **team** or **process stage** (e.g., deal stage).
- Keeps a single source of truth for each field (no duplicates).
- Makes data entry faster and more consistent.

## Step-by-step: Set up conditional record layouts (the practical way)

### Step 1) Decide your “display driver” property (don’t wing this)

Conditional logic needs a property to evaluate. Pick one that is:

- **Stable** (doesn’t change randomly)
- **Owned** (someone is responsible for keeping it accurate)
- **Meaningful** for your process

Good options I use a lot:

- **Deal stage** (great for Sales pipelines)
- **Lifecycle stage** (good for contact/company context, but be careful—Marketing often changes it)
- **Team** or **Business unit** (if you have a clean way to set it)
- **Customer status** (Prospect / Onboarding / Active / At-risk / Churned)

**My rule:** if you can’t explain who updates the driver property and when, you’re not ready to use it for conditional layouts.

### Step 2) Map the “must-see” fields per team (keep it short)

For each team, list:

- 5–10 fields they need **every time**
- 5–15 fields they need **sometimes** (based on stage/status)
- Fields they should **never** touch (because it breaks reporting or compliance)

This prevents the classic admin trap: building a layout that’s just as cluttered as before, only in different sections.

### Step 3) Build sections and cards in Record Customization

Go to **Settings → Objects → (choose object) → Record customization**.

Then:

1. Create a section for each major workflow (example: **Sales Qualification**, **Proposal**, **Implementation**, **Renewal**).
2. Add the relevant properties into each section.
3. If you need to show related data (like associated tickets or custom objects), use cards where appropriate.

Keep your section names direct and consistent. If your portal has multiple pipelines or regions, include that in the naming convention (example: *Renewal (CS)* vs *Renewal (Sales)*).

### Step 4) Add conditional logic (this is where the magic is)

For each section/card that should only show up sometimes:

1. Open the section/card settings.
2. Choose **Set conditional logic**.
3. Select your driver property (from Step 1).
4. Define the criteria (example: show *Implementation* section only when Deal stage is *Closed won*).

**Pro tip:** Use conditional logic to *reduce noise*, not to hide bad process design. If the team needs a field, don’t bury it behind five conditions.

### Step 5) Test with real users (and real records)

Before you roll it out:

- Pick 5–10 real records covering different stages/statuses.
- Have 1–2 people from each team walk through their workflow.
- Watch where they hesitate or scroll. That’s your signal the layout is still too busy.

If you’re doing this right, the team should stop asking “where is that field?” within a week.

## Common mistakes (the ones that quietly wreck your portal)

- **Duplicating properties per team.** You don’t get “flexibility.” You get reporting chaos.
- **Using a driver property that’s unreliable.** If lifecycle stage flips back and forth, your layout will feel broken.
- **Hiding required fields behind conditions.** If a field is required for stage progression, it needs to be visible when that stage happens.
- **No naming convention.** If sections are called “Info,” “More Info,” and “Other,” nobody will maintain it.
- **Over-customizing before adoption.** If the team isn’t using the CRM daily, fancy layouts won’t save you.

## Quick checklist (use this before you publish changes)

- One driver property selected and documented (owner + update rule)
- Each team’s “top 10” fields are visible with minimal scrolling
- No duplicate properties created to solve a layout problem
- Conditional sections align to real process stages/statuses
- Tested on real records across multiple scenarios
